Every business running video consultations eventually wastes time on the same task: booking the appointment in one system, then creating a Zoom meeting in another, then copying the link and pasting it into a confirmation message. It takes two minutes per appointment, and it introduces a failure point. Someone forgets to create the link. Someone sends the wrong link. A client shows up to a consultation with no way to join. Connect Zoom to LeadExploder and that entire step disappears. Every booked appointment generates a unique Zoom meeting automatically and the link goes to the client in the confirmation message without anyone touching it.
What this integration does
When an appointment is booked through a LeadExploder calendar, a Zoom meeting is created in the connected team member’s Zoom account automatically. The meeting link is embedded in the confirmation SMS and email using a dynamic token. If the appointment is rescheduled, the Zoom meeting updates to the new time. If it is canceled, the Zoom meeting is removed. Nothing is manual, and no client ever receives a confirmation without a working meeting link.
Each team member connects their personal Zoom account to their individual LeadExploder calendar. When the appointment is booked on their calendar, the Zoom meeting is created under their account. Meeting histories stay tied to the correct person, and team members who join from different Zoom accounts are not mixed into each other’s meeting histories.
The integration also supports reminder automation. LeadExploder can send a 24-hour reminder and a 15-minute reminder, both containing the unique Zoom join link for that specific appointment, to reduce no-show rates without anyone having to look up and re-paste the link.
What you can do with Zoom + LeadExploder
- Generate a unique Zoom meeting link automatically for every new appointment booked in LeadExploder
- Include the Zoom link in confirmation SMS and email messages using a dynamic token that populates at booking time
- Send automated 24-hour and 15-minute reminder messages that include the Zoom link directly
- Sync appointment cancellations: canceled appointments in LeadExploder remove the corresponding Zoom meeting
- Assign Zoom meetings to the correct team member based on which LeadExploder calendar the appointment was booked through
- Display the Zoom link in the LeadExploder appointment details view for team members who need to access it from the CRM
How to set this up
- In LeadExploder, go to Settings > Calendars and open the calendar you want to connect to Zoom. You must set up the Zoom connection per calendar, not as a global setting.
- Inside the calendar settings, find the Video Conferencing section and click “Connect Zoom.”
- You’ll be redirected to Zoom’s OAuth authorization page. Sign in with the Zoom account that belongs to the calendar owner. Grant LeadExploder permission to create and manage meetings on that account.
- Return to LeadExploder. The calendar now shows “Zoom connected” in the Video Conferencing section. A unique Zoom meeting will be created every time a new appointment is booked through this calendar.
- Open the calendar’s confirmation message template under Notifications. Add the token
{{appointment.zoom_link}}to your SMS confirmation template and your email confirmation template. This token is replaced with the live Zoom meeting URL when the booking is confirmed. - Add the same
{{appointment.zoom_link}}token to your 24-hour and 15-minute reminder message templates so clients always have the link before the meeting. - For teams where each member has their own calendar: repeat steps 1 through 6 for each team member’s calendar. Each person connects their own Zoom account so meetings are created under the correct identity.
- Book a test appointment through the calendar and confirm the Zoom link appears in the confirmation message, in the reminder messages, and in the appointment details panel inside LeadExploder.
Workflows this enables
Consultation booked, Zoom link in the confirmation in under 30 seconds
A personal injury prospect clicks the “Book a Free Case Review” link on a law firm’s website, picks a time slot, and submits their contact information. Within 30 seconds, they receive an SMS: “Your case review with [attorney name] is confirmed for [date] at [time]. Join the call here: [Zoom link].” The attorney receives a notification with the same appointment details and the same Zoom link. No one created the meeting manually. The firm running 20 or more intake consultations per week eliminates the two-minute meeting-creation task for every single one, recovers meaningful time per week, and eliminates the failure mode where a client receives a confirmation without a working link. Law firms, mortgage lenders, and med spa practices with consultation-heavy models all benefit from this in proportion to their booking volume.
15-minute reminder eliminates the “I don’t have the link” call
LeadExploder sends an automated reminder SMS exactly 15 minutes before a scheduled Zoom consultation. The message contains the direct Zoom join link for that specific meeting. For mortgage lenders and real estate teams where a no-show or late-start can mean a missed rate lock window, the 15-minute reminder with the link included is a concrete operational improvement. Clients who receive a reminder with the join link directly available click it rather than searching through their email for the original confirmation. No-show rates on reminder-supported consultations run measurably lower than on those where the client must locate the link themselves.
Post-call follow-up fires based on consultation outcome
After a Zoom consultation ends, a LeadExploder workflow fires based on the appointment outcome tag applied by the team member during or after the call. A legal intake tagged “qualified prospect” enters a retainer follow-up sequence. A mortgage consultation tagged “pre-approval needed” enters a document collection sequence with specific forms requested in the first message. A med spa consultation tagged “interested in filler” receives a limited-time offer for the service discussed. The Zoom call is the trigger point, and the downstream follow-up is automated based on what the team member observed during it. This turns the Zoom consultation from an isolated event into a trackable pipeline stage with a defined next action.
Frequently asked questions
Does every team member need their own Zoom account?
If you want each team member’s meetings to be created under their own Zoom identity, yes. Each person connects their personal Zoom account to their LeadExploder calendar. If your team operates from a single shared Zoom account (common in smaller practices or solo operators), all meetings are created under that account and the same meeting link appears regardless of which team member’s calendar was booked. Zoom’s paid plans support multiple named users under one account subscription, so team members can each be added as Zoom users without requiring entirely separate accounts and subscriptions.
What happens to the Zoom link if an appointment is rescheduled?
When an appointment is rescheduled inside LeadExploder, the existing Zoom meeting is updated to the new date and time. The meeting ID remains the same, and the original Zoom join link continues to work. The client receives an updated confirmation message with the corrected date and time, with the same meeting link already embedded. If the reschedule happens within a very short window of the original meeting time, Zoom’s behavior can vary depending on your account settings. Test the reschedule flow once during setup to confirm how your specific Zoom account handles it.
Can I use Google Meet or Microsoft Teams instead of Zoom?
LeadExploder’s native video conferencing integration is with Zoom. Google Meet links can be generated through the Google Calendar integration: when a LeadExploder appointment syncs to a Google Calendar that has Meet enabled, Google adds a Meet link to the calendar event automatically. Microsoft Teams integration is available through Zapier for organizations that require it. If your team uses Teams as the primary meeting tool, a Zapier Zap connecting LeadExploder appointment bookings to Teams meeting creation handles the same workflow. Contact the LeadExploder team for the current status of any additional native video conferencing options.
